Why a Deposit Protects You Both

A celebration cake is not a product you can pop back on the shelf if the customer changes their mind. Once you have bought the eggs, ordered the sugar flowers, blocked out three days in your diary and turned down another order for that weekend, that cake exists in your calendar whether it gets collected or not. A deposit is simply what makes that commitment mutual.

It also protects your customer. It gives them a written moment where they stop being "someone who enquired" and become a booking, with a clear set of dates attached. Nobody likes a vague arrangement. Most awkwardness between home bakers and their customers comes from assumptions rather than bad intentions, so the deposit is where you replace assumptions with facts.

Setting a Deposit That Feels Fair

For celebration cakes, a deposit of 25% to 50% of the total is a sensible range, with the higher end for anything involving handmade sugar work, fresh flowers or multi-tier stacking. Wedding cakes often sit at 50%, with the balance due a set number of days before the date.

Whatever you choose, be specific about what the deposit is for:

  • It reserves your date and covers initial ingredients, materials and design work.
  • It is normally non-refundable, because your time and costs have already started.
  • It is deducted from the final total, never an extra charge.

Payment is easier to track if you keep it to two methods, such as bank transfer with a clear reference (the customer's surname and the event date) or cash in person, with a written receipt. Avoid taking a deposit you cannot prove was paid. State plainly that the cake is not confirmed until the deposit clears, and give a deadline, for example "held for seven days pending deposit".

Agreeing the Timeline Before You Bake

Ask for enquiries early and be honest about lead times. As a guide, two weeks suits a simple buttercream celebration cake, four to six weeks is realistic for detailed modelling or sugar flowers, and wedding cakes are often booked six to twelve months ahead.

Then build the order around fixed milestones, and put each one in the confirmation:

  • Design agreed by: a set date, after which changes may carry a small fee.
  • Final numbers and flavours by: usually 14 days before collection.
  • Balance due by: commonly seven days before, or on delivery for smaller orders.
  • Collection or delivery date: with an agreed window.

Collection Times and Delivery Windows

"Saturday sometime" is how cakes end up melting in a porch. Give every customer a 30-minute collection slot, plus your full address, parking notes and a contact number. Remind them to bring a flat, stable surface and to keep the cake out of direct sun in the car.

If you deliver, set a fee based on distance and keep it consistent for everyone. Agree the delivery window in writing and note that someone must be there to receive the cake and check it over.

For late collection, decide your policy in advance. A common approach is 15 minutes of grace, then a storage fee or rearrangement to the next working day. It feels awkward to enforce, but it is far easier than an open-ended evening waiting by the door.

Written Records That Keep It Simple

You do not need legal jargon. You need one clear message or email that both of you can look back at. Send an order confirmation containing:

  • Tier sizes, servings, flavours and fillings.
  • A short description of the design, plus any personalisation and colours.
  • Allergen information and any "may contain" notes.
  • Deposit received, balance outstanding and the date it is due.
  • Collection or delivery time, and the cancellation terms.

For weddings and large orders, ask for a simple signed order form or a reply that says "I agree to these terms." Keep booking records and receipts for at least a year, longer for weddings. A tidy folder, digital or paper, saves an enormous amount of stress when someone queries a detail months later.

When Plans Change

Cancellations are easier for everyone when the outcome is predictable. A tiered approach works well: the deposit is retained but the date released with plenty of notice, a higher percentage is charged within seven days, and the full balance within 72 hours, once ingredients and labour are committed.

For a no-show, hold the cake for 24 hours, then dispose of it. You cannot resell a cake that has left your kitchen, so it must be charged in full, and saying so politely in advance avoids a difficult conversation later.

If you have to cancel because of illness, offer the earliest alternative date you can, or return any balance paid beyond your costs. Write it down, follow it every time, and you will build a reputation as a baker who is calm, fair and easy to order from. That is worth as much as any deposit.
